F. Email List Creation/Upload/Access Codes

The following instructions will help ensure survey delivery to all eligible employees.

    How do you submit your email list and/or request access codes for employees without email?

    Once registration has closed, you will receive a link to upload your list of email addresses for all eligible employees, and request access codes (user IDs) for employees without email, into an online portal. Each email address can only be linked to one person and no employee can be linked to more than one address on the list. You will need to prepare your list prior to uploading it, by placing the employee email addresses in an Excel or CSV file with each email address on a separate line in column A, and saving the file as your company name. See sample image at the bottom of this page. BCG will not sell or trade your employee email addresses.     BCG prefers to send survey invitations to company issued employee email accounts, rather than personal email addresses (e.g., Yahoo, Gmail, etc.). Please request access codes (user IDs) in the upload portal for these employees. IT departments cannot change white-listing settings for personal email addresses (e.g., Yahoo, Gmail, etc.). The survey may go to junk or trash folders instead of employees’ inboxes, which can impact your survey completion percentage and your company’s ranking. If any employees have only a personal email address, BCG recommends that you request access codes for them. If you would rather use personal email addresses, please ask employees to watch their spam/junk folders for an email from an @BestCompaniesGroup.com address. BCG cannot give technical assistance for personal email accounts.

    Do not include distribution list emails (email addresses that accept message(s) and then automatically redirect the message to email addresses that belong to that group/list. Example: allusers@xyzcompany.com or sales@xyzcompany.com). Do not include names or any other information aside from email addresses.

    Please review the list to ensure accuracy prior to uploading. We highly recommend that you test the emails before submitting to catch any updates/changes in names, misspellings, employees no longer with the organization, etc. After you submit your email address list, BCG cannot make any changes or corrections. Should BCG discover that your organization excluded any eligible employees, or included ineligible employees, disqualification may occur.


    If you request access codes, you will receive a file with the codes as well as guidelines for distributing the codes directly from BCG. The codes will arrive in an email at least one day prior to the employee survey start date.
